This Privacy Policy explains how the Malaysian Association of Research Scientists (MARS) (“Organizer”) and its technology partner DZ COM (“Tech Partner”) collect, use, disclose, and safeguard personal data in connection with event registration and participation. We comply with the Personal Data Protection Act 2010 (PDPA) of Malaysia.

1. Data We Collect

  • Identity & Contact: name, IC/passport, organisation, job title, email, phone, address.
  • Registration Details: ticket type, add-ons, meal/dietary requests, promo codes, accessibility notes.
  • Payment Information: bill codes, transaction IDs, payment status (processed via ToyyibPay; we do not store card data).
  • Event Usage: attendance records, check-in times, feedback forms.
  • Technical Data: IP address, browser/device type, logs.
  • Media: event photography and video may include your likeness.

2. How We Use Data

  • To manage registrations, payments, check-in and event operations.
  • To communicate confirmations, reminders, updates, and post-event notices.
  • To comply with legal, tax, and safety obligations.
  • To improve event quality, analytics, and system security.
  • With consent, to send marketing about related events (opt-out anytime).

3. Disclosures

  • Payment processors (ToyyibPay, banks).
  • Email/SMS providers and IT vendors operated by DZ COM.
  • Event venue and service providers (for catering, logistics, security).
  • Legal/regulatory authorities if required by law.

4. Retention

  • Registration data: up to 24 months after the event unless longer retention is legally required.
  • Financial records: up to 7 years for accounting compliance.
  • Media: retained for archival and promotional purposes until no longer required.

5. Security

We implement reasonable safeguards including encryption, access controls and monitoring. While no system is 100% secure, we aim to continuously improve protections.

6. Your Rights

  • Access and correct your personal data.
  • Withdraw consent for non-essential uses (e.g., marketing).
  • Request deletion where legally and contractually possible.
